What this job involves:

As a Facilities Coordinator at JLL on our Amazon account dedicated team, you will report daily to the Assistant Facilities Manager or Facilities Manager and assist in all and any areas to ensure that the FM services to the building run smoothly while assessing building maintenance issues by conducting weekly walks of the building and recording the findings. This comprehensive facilities coordination role combines operational support with customer service excellence, requiring you to work with the Facilities Manager and Moves and Changes team to address internal space requirements and to organise/assist with team moves while monitoring stock levels of Stationary and Consumables used by Employees and placing orders with suppliers. You will play a crucial role in JLL's commitment to exceptional facilities management by managing internal moves within the building with the Facilities Manager, working with Facilities Manager and Moves and Changes team to maintain floor plans, and assisting in setting up in house and external events as and when required while working with the Building Operations team and reporting all defective H&S equipment to the respective person and arranging for repairs to be carried out.

What your day-to-day will look like:
  • Assess building maintenance issues by conducting weekly walks of the building and recording findings with detailed documentation

  • Work with Facilities Manager and Moves and Changes team to address internal space requirements and organise team moves

  • Monitor stock levels of Stationary and Consumables used by Employees while placing orders with suppliers efficiently

  • Manage internal moves within the building with Facilities Manager while maintaining floor plans with Moves and Changes team

  • Assist in setting up in house and external events as required while working with Building Operations team

  • Report all defective H&S equipment to respective person and arrange for repairs while supporting Assistant Facilities Manager

  • Manage fire wardens and first aiders while assisting with scheduling training and refresher training as necessary

  • Cover Receptionist Role & Responsibilities when required while managing day to day mail room operation and deliveries.

Required Qualifications:
  • Previous experience working within high profile corporate environment with customer service background essential

  • Pro-active and hands-on approach with happiness to support other Team members in collaborative environment

  • IT Skills including Outlook, Excel, Word with professional, friendly and welcoming attitude for customer interactions

  • Good attention to detail with ability to show initiative while maintaining excellent communication skills

  • Organisational skills and ability to prioritise busy workload while managing multiple facilities coordination responsibilities

  • Understanding of building maintenance issues assessment with weekly walks and findings recording capabilities

  • Knowledge of internal space requirements coordination with Moves and Changes team support for team moves organisation

  • Experience with stock levels monitoring for Stationary and Consumables with suppliers order placement coordination.

Preferred Qualifications:
  • Previous reception or hospitality experience with Knowledge of Facilities Management processes for comprehensive coordination

  • Understanding of internal moves management within building with floor plans maintenance coordination capabilities

  • Experience assisting in house and external events setup with Building Operations team collaboration for H&S equipment management

  • Knowledge of vendor management and Soft Service Support with Assistant Facilities Manager support capabilities

  • Background in fire wardens and first aiders management with training and refresher training scheduling assistance

  • Understanding of Manuals, Handbooks, Guidance notes upkeep and review with Meeting and Events support knowledge

  • Experience with mail room operation management including deliveries, enquiries, and mail related supplies stock coordination

  • Knowledge of basic procedures, courier suppliers and external key contacts with initiative demonstration in busy workload.
