Náplň práce, právomoci a zodpovednosti:

Ancient Wisdom s.r.o. is part of an international group specialising in gifts, aromatherapy, home fragrance and related products supplied to customers across Europe.

As our business continues to grow, we are looking for a Compliance Officer – Product & Packaging Compliance to join our team.

This is a varied role covering product and cosmetic compliance, packaging, labelling and environmental regulations.

You will work with suppliers, colleagues across our European businesses and our UK Compliance Manager to make sure our products and packaging meet the relevant requirements.

You do not need to know every regulation from day one. We are looking for someone who is organised, analytical, persistent and willing to learn. You should be comfortable researching requirements, working with detailed information and turning regulations into practical processes.

What will you do?Product & Cosmetic Compliance

  • Prepare and maintain cosmetic compliance documentation, Product Information Files (PIFs) and technical files.

  • Create and maintain product specifications and data sheets, including ingredients, allergens and certifications.

  • Notify products through the appropriate regulatory portals.

  • Collect and check technical and regulatory documentation from suppliers.

  • Coordinate required product safety testing and maintain the related documentation.

  • Support product development from a compliance perspective.

  • Record and follow up product quality and compliance issues.

Packaging Compliance – PPWR & EPR

  • Maintain accurate packaging information, including packaging materials, components and weights.

  • Collect packaging declarations and supporting documentation from suppliers.

  • Maintain packaging information in our ERP system Aiku and supporting records.

  • Prepare packaging data and reports for environmental/EPR reporting.

  • Help ensure packaging reporting requirements are completed correctly and on time across the European markets where we operate.

EUDR – Wood & Paper Products

  • Collect required documentation and information from suppliers.

  • Maintain records of products affected by EUDR requirements.

  • Coordinate supplier information including species, geolocation and legality documentation.

  • Support risk assessments and Due Diligence Statements.

  • Ensure required information is available before affected shipments are dispatched or cleared through customs.

Product & Packaging Labelling

  • Check that product and packaging labels meet applicable requirements.

  • Coordinate mandatory languages, recycling information and country-specific labelling requirements.

  • Maintain correct importer, producer and responsible-person information.

  • Maintain our artwork overview and communicate artwork release requirements with the warehouse and other departments.

  • Help ensure product information and artwork remain accurate and up to date.

Customers, Suppliers & Documentation

  • Respond to customer requests for product and compliance documentation.

  • Prepare and provide data sheets, conformity statements and other technical information.

  • Coordinate compliance requests relating to REACH, allergens, substances and similar requirements.

  • Follow up suppliers for missing declarations, certificates and technical information.

  • Support colleagues with technical advice, product information and quality queries.

Systems & Process Improvement

We want compliance to be managed through good systems and processes, not just spreadsheets.

You will:

  • Maintain accurate compliance information in Aiku, our internal ERP system.

  • Work with our development team to improve compliance functionality.

  • Maintain clear registers, checklists and documentation.

  • Identify missing information and follow it through until it is resolved.

  • Help improve and automate compliance processes wherever possible.

The work cannot be performed in the form of remote or home-office. This is work for 8+ hours a day directly in our offices, possibly only with an occasional home-office. Požiadavky na zamestnanca:

We are looking for someone who:

  • Has strong English, as this is the main working language for the role.

  • Is organised and pays close attention to detail.

  • Is comfortable working with Excel, systems and large amounts of product data.

  • Can work independently and take ownership of tasks.

  • Is curious and willing to research and understand new regulations.

  • Is persistent when following up suppliers and colleagues for missing information.

  • Communicates clearly and professionally.

  • Is comfortable enforcing compliance requirements when necessary.

Previous compliance experience is an advantage, but it is not essential.

We are also happy to consider a capable graduate who has strong analytical skills, attention to detail and a willingness to learn.

It would be an advantage if you have experience with:

  • Product or cosmetic compliance.

  • Product Information Files or technical documentation.

  • Packaging compliance or EPR.

  • Quality management.

  • Customs, importing or freight forwarding.

  • ERP or product information systems.

  • HS/tariff codes.

  • Working with international suppliers.

Knowledge of any one of the following languages would be an advantage, but is not necessary for the role: Slovak, Polish, German, French, Spanish or Italian.

What do we offer?

You will not be starting from zero.

We already have established compliance processes, supplier declaration forms, templates, packaging workbooks, EUDR guidance and internal systems in place.

You will work closely with our UK Compliance Manager and colleagues across the Ancient Wisdom group while developing your own specialist knowledge.
